1. Pitches are allocated at the organiser's discretion. The pitch size allocated will match the size
booked. Oversized stalls or equipment exceeding the allocated space may incur additional charges
or be refused.
2. Food traders and stalls requiring electricity must arrive from 7:00am. All other traders should
arrive from 7:30am. Stallholders must not arrive before the organisers.
3. The event opens at 11:00am. All trader vehicles must be removed from the event area by
9:30am.
4. Traders must provide their own gazebo, tables and equipment. Gazebos must be securely
weighted and positioned closely together as directed to avoid unnecessary gaps.
5. Electricity is limited, must be requested in advance and is provided only where essential for
trading. It must not be used for decorative lighting, phone charging or other non-essential purposes.
6. Pitch positions are allocated by the organisers and may not be changed without permission.
7. Stall sharing is only permitted with prior organiser approval. Pitches may not be transferred,
sub-let or given to another trader without permission.
8. Charity pitches are only for the approved charity. Free or discounted charity pitches may not be
passed to another branch, representative or organisation without organiser approval.
9. Only products declared on your application may be sold. Any additional products or services
require organiser approval before the event. Undeclared items may be removed, particularly where
they conflict with existing traders or introduce food products requiring compliance.
10. Counterfeit, copied, offensive or inappropriate goods are prohibited.
11. Food traders must submit all required food hygiene documentation before the stated deadline.
12. Food pitch categories are determined by the organisers. Standard Food Pitches are for traders
selling pre-prepared food requiring no on-site cooking. Catering Pitches apply to traders preparing
or cooking food on site, or using catering trailers, generators or commercial cooking equipment.
The organisers reserve the right to reclassify a booking where necessary.
13. All traders must hold appropriate Public Liability Insurance.
14. The organisers and venue accept no liability for goods, stock, equipment or personal
belongings.
15. Violent or abusive behaviour will not be tolerated.
16. The organisers reserve the right to refuse entry or remove traders where necessary.
17. The organisers may amend these Terms & Conditions if required.
18. Pitch fees are non-refundable unless the event is cancelled by the organisers.
19. The event will only be cancelled in extreme weather or exceptional circumstances. Traders
choosing not to attend will not receive a refund.
20. Once directed to your pitch, unload promptly, move your vehicle immediately and return on foot
to set up. Short queues should be expected during arrival.
21. Payment must not be made until an official payment request has been issued.
22. The booked pitch space must be fully occupied. Unused space may be reallocated without refund
