Estrella Events Stallholder Terms & Conditions

These Terms & Conditions apply to all stallholders attending events organised by Estrella Events. By submitting a booking application or accepting a stall space, you agree to the following Terms & Conditions.
1. Stall Spaces
Table sizes are allocated at the time of booking and are subject to availability.
Available sizes are:
- Single Table – 1210mm × 600mm
- Double Table – 2420mm × 600mm
- Triple Table – 3630mm × 600mm
Once allocated, table sizes cannot be changed unless agreed by the organiser.
2. Stall Allocation
The organiser reserves the right to allocate and alter stall positions before or during the event if necessary.
3. Set Up
Stallholders may enter the venue during the advertised set-up time.
All stalls must be fully set up and ready to trade before the event opens to the public.
Any stallholder arriving after the stated arrival deadline may lose their allocated space without refund.
4. Trading Hours
Stallholders must remain open and trading until the advertised closing time unless permission has been given by the organiser.
Packing away early without prior permission may result in the stallholder not being invited to future Estrella Events.
5. Helpers
Each booked stall includes free entry for the stallholder and one helper only.
Additional helpers or guests must pay the standard admission fee unless agreed in advance.
Stallholders may not offer free entry to visitors.
6. Stall Displays
Displays must remain within the allocated stall space unless agreed beforehand.
Maximum display heights may vary depending on the venue and will be confirmed prior to each event.
7. Electricity
Electrical points are limited and must be requested during the booking process.
Availability cannot be guaranteed.
Any electrical equipment brought to the event must be safe and, where applicable, PAT tested.
8. Products & Services
Only products or services declared on your booking application and approved by Estrella Events may be sold or promoted during the event.
If you wish to introduce additional products or services after your application has been accepted, you must obtain written approval from the organiser before the event.
The sale of counterfeit, replica, imitation or otherwise unlawful goods is strictly prohibited. Stallholders must ensure they have the legal right to sell all products offered at the event and that their products comply with all relevant UK laws and regulations.
The organiser reserves the right to request the immediate removal of any unauthorised, inappropriate, offensive or prohibited products or services. Failure to comply may result in the stallholder being asked to leave the event without refund and may affect future applications.
9. Public Liability Insurance
All stallholders must hold valid Public Liability Insurance appropriate to their business.
Proof of insurance may be requested before or during the event.
10. Responsibility for Property
All stock, displays, equipment and personal belongings remain the responsibility of the stallholder.
Estrella Events and the venue accept no liability for loss, theft or damage.
11. Sales & Liability
Stallholders are solely responsible for the products and services they provide.
Estrella Events and the venue accept no responsibility for products sold or advice given by individual stallholders.
12. Behaviour
We aim to provide welcoming, friendly and inclusive events for everyone.
Aggressive, abusive, discriminatory or inappropriate behaviour towards organisers, visitors or fellow stallholders will not be tolerated and may result in immediate removal from the event without refund.
13. Photography & Marketing
Photographs and videos may be taken during events for promotional purposes.
By attending an Estrella Event, stallholders agree that photographs or videos containing their stall or business may be used across our website, social media platforms and future marketing material.
14. Cancellations & Refunds
All bookings are non-refundable unless the organiser agrees otherwise in exceptional circumstances.
If a stallholder is unable to attend, they should notify the organiser as soon as possible.
If an event has to be cancelled due to circumstances beyond the organiser’s control, including severe weather, venue issues or other unforeseen events, every effort will be made to rearrange the event or offer an alternative. Any refunds remain at the organiser’s discretion.
15. Right of Refusal
Estrella Events reserves the right to refuse any application or entry without providing a reason.
Previous attendance at an Estrella Event does not guarantee acceptance at future events.
16. Changes to Terms
Estrella Events reserves the right to amend these Terms & Conditions at any time. The latest version will always be published on our website.
17. Data Protection
Personal information collected during the booking process will be handled in accordance with the Estrella Events Privacy Policy.
18. Stall Transfers
Stall spaces are allocated to the approved business named on the booking application and may not be transferred, shared, sublet or occupied by another business without prior written permission from Estrella Events.
Any unauthorised transfer or substitution of a stallholder may result in removal from the event without refund and the businesses involved may be refused entry to future Estrella Events.
19. Health & Safety
Stallholders are responsible for ensuring their stall, equipment and displays are safe, secure and do not present a risk to visitors, fellow exhibitors or venue staff.
Any hazards identified by the organiser must be rectified immediately.
20. Cleaning Up
Stallholders are expected to leave their allocated space clean and tidy at the end of the event and must remove all stock, displays and rubbish before leaving the venue.
21. Intellectual Property
Stallholders must only sell genuine products and products they have the legal right to produce, distribute or retail.
Estrella Events reserves the right to refuse the sale or display of any items believed to infringe copyright, trademarks, design rights or other intellectual property rights.
